Time and attendance services keep track of the time an employee spends on the job. Time keeping systems are beneficial if you have hourly employees and workers on different jobs. By tracking time, you can ensure all hours are compensated correctly—including overtime—all paid time off is recorded, and job costing is made simpler by enabling employees to “clock-in” on different projects and jobs. Most time keeping platforms import directly into your payroll software and make payroll processing much easier.
When comparing time and attendance platforms, you’ll want to make sure basic features are covered, such as clocking in and out and scheduling. Additional features you may need include time off requests and absence tracking, payroll integration, compliance regarding hours worked, ability to correct missed time, and reporting.
Most time keeping software will integrate directly with your payroll platform or will export a detailed report with each employees’ time worked (including any overtime) which you can use to import into your payroll system. Using time keeping eliminates mistakes made from manual entry and notates regular hours vs overtime hours vs any other types of pay.
This depends on the time and attendance platforms, but many of them will integrate or export the payroll data to import into your HRIS system. Some HRIS systems will offer time management as well. Look for the providers’ ability to easily communicate and exchange data with systems (HRIS, scheduling software, devices etc.) and stakeholders (payroll provider) to help increase efficiency and eliminate duplication and manual work. Some features like cloud-based access, biometric verification, real-time updates, and customizable reports are great too.
Consider how much time it takes your staff to manually collect the hours worked by each employee, allocate to specific jobs/projects, and determine regular vs overtime hours then manually input this data into a payroll system. One way to assess the ROI is by calculating the savings from increased productivity, or accurate payroll processing. Reduced overtime costs or reduced time spent on administrative tasks are also good indicators of return on your investment.
